HIRE TERMS & CONDITIONS
This document forms the terms and conditions of hire of spaces by a hirer (you) at Studio 24
(we/us). The hire of spaces under these terms and conditions does not create any affiliation or
partnership between you and Studio 24, and Studio 24 takes no responsibility for and does not
endorse the content of activities which you carry out in our spaces.

By confirming the booking request in writing you acknowledge and confirm that you have read,
understood and agreed to comply with the terms and conditions contained within this document.
Please note that completing a booking form does not automatically mean that the booking has been
confirmed.

1. BOOKING PROCEDURE:

1.1 We do not take bookings over the phone. All reservations must be made via email through the
space bookings team whose usual office hours are Monday to Friday between 09.00 and
17.00. [email protected]
1.2 Block bookings at Studio 24.

The minimum hire period for your agreed block booking time slots is “per term”, this must be paid
weekly in arrears. Failing that, you may be denied access to our spaces or lose the right to the
agreed block booking time slot. We reserve the right to cancel any booking with immediate effect
where payment is not received under these terms. Studio 24 will not be liable to any losses for
classes that are cancelled through non payment.
1.3 An order is raised as soon as a your booking is agreed in writing via email. From this point
onwards,
– You are liable for the full payment for the agreed minimum period.
– If you wish to extend the block booking hire period you must give written notice a minimum of
30 days before the end of your agreement.
– If you wish to terminate your block booking agreement you must give a minimum of 30 days
notice before the end of your agreement.
– Studio 24 reserve the right to give 30 days notice to cancel any block booking.
1.4 For exclusive one-off hires in Studio 24 the cancellation policy is as follows:
– a 50% cancellation fee is applicable if the booking is happening within 60 days of the
activity date
– the total amount on the invoice will be liable if cancellation is made within 30 days or less
of the activity date
– If the booking is cancelled before the required 60 days’ notice, a cancellation fee will not
apply.

1.5 Please ensure all booking details and invoicing/personal details are correct before finalising
your king.

1.6 For block bookings and exclusive hires in Studio 24:
payment must be made paid immediately upon receipt (unless a different arrangement has been agreed
in writing), otherwise you risk cancellation of future bookings.

1.7 Booking slots can change throughout the year

1.8 Studio 24 reserves the right to move bookings to a different space if changes in the internal
programme requires us to do so. Where the hirer is moved to a larger space, they will not be
charged for the upgrade; where a hirer is moved to a smaller space, they will be refunded the
difference. You will be given notice of changes/cancellations in writing as far in advance of the
booking date as is reasonably practicable.

2. NOISE LEVELS:

Our relationship with our neighbours and other tenants/hirers is very important to us, and at any
time we can have as many tenants/hirers using our building. Therefore,

2.1 Noise levels in all spaces must be kept to a reasonable level. If you are disturbing other
users, you will be advised to reduce your noise.

2.2 All studios are equipped with a ventilation system to ensure
air circulation, please keep all doors and fire doors closed at all times.

2.3 If you intend to use percussion/live music/loud music/singing, this must be stated when booking
and you will be advised if this is possible. Please note any planned events or shows must be
authorised by Studio 24 customer services before booking.

2.4 If you plan to use heavy objects or equipment prior permission must be sought to ensure that
the studio flooring is not damaged during access or egress. Items must be carried across floors to
prevent damage. You will be liable for any damage caused.
3. FOOTWEAR, FOOD & DRINKS:
3.1 No outdoor shoes are allowed in any of our studios. Please see specifications below about which
type of footwear (if any) is allowed in the spaces:
Studios 1, 2 and 3: No outdoor footwear permitted, footwear must be non-marking, heels
and shoes with the potential to damage the flooring are not permitted and the hirer will be liable
for damage and any necessary repairs.

Studio 1 & 2: no tap shoes are allowed

Communal areas: all types of clean footwear excluding sharp heels are permitted.

3.2 No food or drink may be taken into the studios except bottled water or water bottles. No hot
food may be brought into the building or consumed on the premises.
Please avoid bringing in glass containers.
The hirer/teachers/staff have access to the tea prep area where hot drinks and snacks may be
consumed. The tea prep area is not available to students or the public. The tea prep area must be
left in a clean condition otherwise a cleaning charge may be applied.

3.3 Hirers, their clients or associated persons may not bring food and/or drink items onto the
premises for resale or profit. Only food and/or drink items provided by Studio 24 vending machines
may be sold on the premises. Any items purchased from the vending machines must be consumed in the
viewing area.

4. DAMAGE TO THE SPACES:
4.1 You will be liable for any damage caused to the spaces during or as a result of your hire. This
includes (without any limitation) damage to the floor, walls, electrical or any audio-visual
systems.
4.2 You are responsible for informing Studio 24 by email if you notice anything unusual in the
condition of the space you are hiring. This must be time stamped before your class commences.

4.3 After exclusive hires, and any hires including set or props, we will conduct an inventory of
the space. Any damages will be charged to the hirer.
5. BOOKING TIMES:
5.1 Our booking policy allows for back-to-back bookings and we expect our hirers to include time
for setting up and packing down in their booked timeslot. Please notify Studio 24 by
email about any delays affecting your booking as a result of the previous hire.

5.2 Studio 24 reserves the right to invoice for any extra time in the space. Extra time is charged
in 15 minute increments.

5.3 Our spaces are bookable till 22.00 on weekdays and till 20.00 on weekends. Please make sure to
vacate the facilities by 22.15 on weekdays or 20.15 on weekends.
5.4 If you fail to keep to your allotted time. Persistent late finishes may result in future
bookings being cancelled.

5.5 We can arrange for early access (before 9.00), or late opening (after 20.00/22.00) by
arrangement and if requested at least 2 weeks in advance. Please contact the bookings team for more
information,

6. BROADBAND & EQUIPMENT

6.1 Studio 24 is equipped with fibre optic Wi-Fi signal and this is accessible through a guest
account
Please note this is a free service and there are no guarantees from our part as to its speed and
reliability.

6.2 Any equipment brought into the building should be compliant with current guidance and
legislation. All electrical items must be PAT tested and flammable objects must be treated with
fireproof spray. Hirers are required to have a list of all equipment in use and relevant supporting
documentation.

6.3 Any set or props brought into the studios must be specified and agreed in advance. These items
must be planned and risk-assessed in consultation with our bookings team.

 

7. PHOTOGRAPHY & VIDEO:
7.1 Any hire involving commercial photography & video must be agreed at the time of booking
as different rates may apply. This will be charged according to the information you provide on the
Booking Request Form, please contact the space bookings team for more information.
7.2 We charge for bookings involving photography and video footage according to the purpose and
distribution of the footage. We classify hires according to three categories: (i) independent
artists/teachers/organisations; (ii) media/documentaries/interviews; and (iii) profit-
making/commercial/large productions.
7.3 The use of flash photography must be stated at the time of the booking as it can only be
accommodated in certain spaces.
7.4 We prohibit filming and photography of artistic work, staff, members of the public and children
using the building without the proper consent. If your hire involves filming/photographing children
within Studio 24, we ask you to be able to produce the necessary consent forms upon request.
7.5 For most shoots a credit line acknowledging Studio 24 as the location is sufficient, i.e.:
‘Filmed/Photographed at Studio 24’. If the images will be broadcasted, we might be interested in
using the images, videos or stills from such shoots in our communication activities.

8. HEALTH & SAFETY, BEST PRACTICE AND PUBLIC LIABILITY INSURANCE:

8.1 You are responsible for ensuring your event/session is run in line with current health & safety
legislation and best practice guidelines. A risk assessment should be carried out and be available
for Studio 24 staff at the time of block booking. Studio 24 takes no responsibility for the content
or health & safety of events/classes run by external hirers.

8.2 A first aid kit and accident book are kept in the kitchen. Should a participant in your session
sustain an injury, it required it is your responsibility to have staff that are first aid trained.

8.3 If you require further medical assistance, contact the emergency services. We ask that you
inform the bookings team by email if you have called for emergency services.
8.4 All hirers must tell us in advance if they are expecting any wheelchair users.
Studio 24 is fully compliant with access ramp and toilet facilities.
8.5 All hirers must make themselves familiar with the fire evacuation procedures and must make sure
participants are briefed on course of action in case of fire.
8.6 Studio 24’s insurance will only cover defects with the building. We are not liable for and
cannot cover loss of your personal property.

8.7 Hirers need to have their own public liability insurance to cover any situation involving loss
or injury
to a member of the public as a result of their own activities.
we ask you to be able to produce the necessary consent forms upon request.
8.8 If a session involves participants who are under the age of 18 or considered as vulnerable
adults the hirer is responsible for ensuring that the relevant disclosure PVG checks have been
obtained and can be produced on request.
8.9 Hirers must not exceed the recommended studio/room maximum capacity (see below).
9.0 Hirers must ensure that they follow current legislation, recommendations and advice regarding
covid-19 and that they comply with both the government and the relevant professional body
guidelines for there activity.
9. LOCATION AND BUILDING FACILITIES:
9.1 Studio 24 is located on Wellington Lane, Ayr, beside Majestic Wine.
The entrance has a secure door entry system to ensure limited and safe access/egress. The entrance
door must be kept closed at all times
Access should only be given to people attending the classes
Communal areas are monitored by CCTV ensuring the safety, security & compliance of users Studio
24’s entrance is on Wellington Lane which is double yellow lined to ensure the safety of
pedestrians. Please do not park or allow clients/parents to park on Wellington lane as this
presents
a danger to children leaving the premises.
9.2 There are toilets, including disabled facilities at the rear of the building;these are clearly
signposted.
9.3 Changing facilities are available on site, they require to be booked in advance.
No items are to be stored in the changing facilities and they must be kept clean & tidy at all
times. Do not leave any valuable items in the changing facilities.
Studio 24 will not be held responsible for the damage or loss of items.
10. MARKETING AND PUBLICITY GUIDELINES:

10.1 External hirers are only allowed to mention Studio 24 in advertising as the venue where the
activity is taking place and must not use the words “Studio 24” in the title of their event.
Location must be listed as “Studio 24″ with no other suffixes.

10.2 All participants must be directed to the entrance on Wellington Lane, Ayr, KA72DA.
Place website has directions, travel information and a map which can be used on advertising

10.3 Tenants/Hirers are not permitted to display posters, flyers or marketing material in Studio
24. If the hirer wishes to advertise their classes or activities within Studio 24 this must be done
by contacting the bookings department at [email protected]
10.4 We encourage Tenant/Hirers to tag Studio 24 on their social media posts and submit their
activities to the bookings department at [email protected] for inclusion on our own marketing
materials.

11. PRICING AND SPECIFICS:

11.1 Rates are calculated by the hour (one hour minimum hire, after which fractions of 30 minutes
are permitted).

11.2 We also offer daily and weekly rates, as well as exclusive hire rates for the studios. For
commercial hires in the Studios a 4-hour minimum booking applies.
11.3 Maximum capacity for studios is recommended for movement-related activities involving adults,
calculated at an average of 4.5-5 m² per person. (pre-covid)
11.4 The hirer must adhere to recommended movement related safe distancing for their activity post
covid.

11.5 The hirer must ensure that students/participants do not congregate in social gatherings
before, during or after the booking and recommended social distancing and guidelines are met at all
times with Studio 24.

12. Cleaning and Covid
12.1 The hirer is responsible for the cleanliness of the studio and facilities during and after
their class.

12.2 Any rubbish or debris must be swept up and disposed of in bins provided. A brush and pan is
available in the tea prep area.

12.3 All touch points must be cleaned down before and after class, this included door handles/taps
etc. Please use blue roll and anti-covid spray provided in tea prep area.

12.4 Communal toilets should be checked at the end of the booking and returned to an acceptable
standard. Please pay particular attention if the class includes children.

12.5 Dressing Rooms must be checked at the end of the booking and returned to an acceptable
standard. Please pay particular attention if the class includes children.

12.6 Social distancing must be observed throughout the communal areas of the building and face
masks must be worn in line with government guidance.

12.7 Students/Pupils/Visitors must use hand sanitiser provided before entering the hall.

12.8 The halls have extractor systems which must be used when a class/meeting is in progress.

FIRE AND EVACUATION PROCEDURE
Please adopt the following evacuation procedures. It is important that you keep an updated list of
participants in your group and inform them about the nearest exit and assembly point.

If you discover a fire
• Activate the nearest fire alarm call point and leave the building immediately
• Use the nearest escape route, marked by green emergency signage
• If possible &when safe to do so inform customer services staff of the location and
nature of the fire
• Proceed to the assembly point opposite Majestic Wine on the corner of Wellington
Lane and Alloway
Place. Do not loiter outside the exit and do not stand in the road.

If the alarm sounds
• Evacuate the space, closing the door behind you
• Use the nearest escape route, marked by green emergency signage
• Proceed to the assembly point opposite Majestic Wine, on the corner of Wellington
Lane and Alloway
Place. Do not loiter outside any exit and do not stand in the road
• Report to Studio 24 customer services that your area is clear and that all
participants have safely evacuated the building

If it’s not safe to use the main entrance, please proceed towards the rear toilets fire exit into

the perimeter of the building to the assembly point opposite Majestic Wine.

12. Cleaning and Covid
12.1 The hirer is responsible for the cleanliness of the studio and facilities during and after their class.
12.2 Any rubbish or debris must be swept up and disposed of in bins provided. A brush and pan is
available in the tea prep area.
12.3 All touch points must be cleaned down before and after class, this included door handles/taps etc.
Please use blue roll and anti-covid spray provided in tea prep area.
12.4 Communal toilets should be checked at the end of the booking and returned to an acceptable
standard. Please pay particular attention if the class includes children.
12.5 Dressing Rooms must be checked at the end of the booking and returned to an acceptable
standard. Please pay particular attention if the class includes children.
12.6 Social distancing must be observed throughout the communal areas of the building and face
masks must be worn in line with government guidance.
12.7 Students/Pupils/Visitors must use hand sanitiser provided before entering the hall.
12.8 The halls have extractor systems which must be used when a class/meeting is in progress.

FIRE AND EVACUATION PROCEDURE
Please adopt the following evacuation procedures. It is important that you keep an updated
list of participants in your group and inform them about the nearest exit and assembly
point.
If you discover a fire
• Activate the nearest fire alarm call point and leave the building immediately
• Use the nearest escape route, marked by green emergency signage
• If possible &when safe to do so inform customer services staff of the location and nature of the fire
• Proceed to the assembly point opposite Majestic Wine on the corner of Wellington Lane and Alloway
Place. Do not loiter outside the exit and do not stand in the road
• Evacuate the space, closing the door behind you
• Use the nearest escape route, marked by green emergency signage
• Proceed to the assembly point opposite Majestic Wine, on the corner of Wellington Lane and Alloway

• Report to Studio 24 customer services that your area is clear and that all participants have safely
evacuated the building
